 Instruction to Authors

Registration Notice

(A) INSTRUCTIONS FOR ONLINE REGISTRATION

1. The registrant has to provide the following items to set up an ACOUSTICS 2012 HONG KONG registration account :

  • Email Address (it is the login ID for an ACOUSTICS 2012 HONG KONG registration account)
  • Password (6 to 20 alphanumeric characters);
  • Title, First Name, Last Name, Organization, Department, Country and Address


2. When you complete the above in Step 2, your ACOUSTICS 2012 HONG KONG account is set up. You will be directed to the registration page including Registration for the Conference, Abstract Submission, Paper upload, Hotel Accommodation, Accompany Person, Tours, Payment, etc. Note that the registration for the ACOUSTICS 2012 HONG KONG registration is not completed yet at this step.

3. To proceed, click the "New/Additional Application" button in the "Registration for the Conference" field, and follow the instructions on the screen.
Required items to be selected:

  • Delegate, Student, Accompanying Person;
  • Banquet ticket purchase;
  • Women in Acoustics Luncheon ticket purchase;
  • Women in Acoustics Luncheon – Students ticket purchase; and
  • Students Reception reservation.


4. To complete the registration, delegate has to complete payment by clicking the FULL PAYMENT at the Payment Status of Registration Status page. The system will direct you to Paypal to settle the account.

(B) INSTRUCTIONS FOR ABSTRACT SUBMISSION
ALL ABSTRACTS MUST BE SUBMITTED ONLINE BY TUESDAY, 22 NOVEMBER 2011. FACSIMILE TRANSMITTED ABSTRACTS OR ABSTRACTS SENT BY E-MAIL OR BY POSTAL MAIL WILL NOT BE ACCEPTED.

This deadline will be strictly enforced. It will not be possible to submit abstracts after 22 November 2011. The language for all abstracts is English. Every abstract must be between 100 and 200 words, whether invited or contributed. ABSTRACTS THAT DO NOT COMPLY WITH THESE LIMITS WILL NOT BE ACCEPTED BY THE SYSTEM.

Each abstract is associated with a « corresponding author » who is not required to be the first author. The corresponding author MUST REGISTER before submitting any abstract.

When registered, the corresponding author will create an ACOUSTICS 2012 HONG KONG registration account online. Using the author’s email address as login identifier, the corresponding author can submit one abstract (or a maximum of three abstracts after paying an extra fee for each additional abstract; hard limit of two for students).

Corresponding authors submitting abstracts will receive an email acknowledgment.

While authors may indicate a preference for presentation style, it may not always be possible to honor the request. Authors should be prepared to accept assignment of their abstracts to either lecture or poster presentation. Authors contributing papers in Speech Communication are encouraged to select poster presentation.

Authors must indicate compliance with the Ethical Principles of the Acoustical Society of America for Research Involving Human and Animal Subjects in Research and Publishing and Presentations

Steps for submitting abstracts are in the following:-

  • Visit the Registration Website.

  • Before submitting the abstract, please pay the registration fee by clicking the PAYMENT button and follow the instruction to make the payment. To proceed for Abstract Submission, click the "New/Additional Application" button in the "Abstract Submission" field, and follow the instructions on the screen.
  • Required items: List of author names, Preference for oral or poster presentation, Preference for Technical Program and corresponding special sessions; please refer the list in Technical Program and Special Sessions. It is recommended that the paper be submitted for one of the Structured Sessions. If the paper is not intended for any of the Structured Sessions, please select a preferred topic from the Technical program; Abstract title (20 words or less); Abstract text (100-200 words; figures and tables are unacceptable); Identification as an Invited Paper or a Contributed Paper; Confirmation of compliance with the Ethical Principles;
  • Corresponding author submitting abstract will receive an email acknowledgment. Please follow the instruction in the email by clicking a link to add the submitted abstract into your ACOUSTICS 2012 HONG KONG account.
  • The number of the authors is restricted no more than 20. If the list of authors needs more than the specified restrictions, please contact the Conference Secretariat for guidance.
  • After submitting an abstract, authors can update their abstract title and text before the deadline for abstract submission 22 November 2011.

LIMITATION ON THE NUMBER OF ABSTRACTS
Due to the size of the event, and to the emphasis on students’ participation, each corresponding author may submit a maximum of three abstracts (corresponding authors who registered as students are limited to a maximum submission of two abstracts). [Note: A corresponding author is the author who submits the abstract and receives all correspondence related to the abstract.]
The registration fee paid by the corresponding author covers only his/her first abstract. Corresponding authors (including students) who wish to submit additional abstracts must pay a fee of USD $200 for each additional abstract.
Payment of the additional fee applies only to the corresponding author of each paper. You may be a coauthor (and not a corresponding author) on as many abstracts as desired without your payment of the additional fees.

(C) INSTRUCTIONS FOR PAPER SUBMISSION

  • Visit the Registration Website.
  • Login your ACOUSTICS 2012 HONG KONG account using your email address and password and click the "New/Additional Application" button in the "Paper Submission" field, and follow the instructions on the screen.
  • Manuscripts for all papers are to be submitted as PDF files after Abstract Acceptance.
  • PDF file for the Paper: the size of the PDF file shall not exceed 10 Megabytes;
  • If it is necessary to replace a previously uploaded PDF file for a paper, please cancel the old Paper once and upload a new PDF file.
  • Template for the proceedings is available from here (MSWord version is here). In the template, instruction for the authors to make the proceedings manuscript is described in detail and the authors should be refer to them carefully.
  • By submitting your full paper to be published in the ACOUSTICS 2012 HONG KONG Proceedings, you agree to transfer copyright of your full paper to the Hong Kong Institute of Acoustics (HKIOA). Therefore, no part of the ACOUSTICS 2012 HONG KONG Proceedings may be reproduced or transmitted in any form or by any means, electronically or mechanically, including photocopy, recording or any information storage and retrieval system, without prior written permission of the HKIOA. Authors, however, reserve the rights to use, or publish, all or part of their paper in academic journals or books, and to make copies of all or part of such material for use of lecture or class-room purposes. Acknowledging and citing the publication in Acoustics 2012 Hong Kong Proceedings is encouraged.

 

(D) CONFERENCE PROCEEDING

The Meeting Program will contain all abstracts. Authors will also be given the option to submit extended papers to the Conference Proceedings of the ACOUSTICS 2012 HONG KONG. Please note this is an option as it is not required to submit a 6-=page paper. The abstracts and proceedings will be published on CD-ROM and distributed at the conference to all participants. The deadline for submission of the full papers is 29 February 2012. Authors must prepare their papers in accordance with the templates provided on the conference website and then upload them into the conference database. (E) AUDIO-VISUAL EQUIPMENT

PC computers with stereo audio playback capability and video projectors, as well as laser pointers will be provided in all lecture sessions. Computers will be provided with software required for presentation: PowerPoint, Acrobat Reader and Windows Media Player. Note that Mac computers will not be provided. All other equipment or software is considered to be special equipment. Please refer to the "Special Equipment" section below for additional information.

(F) PROJECTION GUIDELINES

A PC computer with stereo audio playback capability and projector will be provided in each meeting room on which all authors who plan to use computer projection will load their presentations. Authors should bring computer presentations on a CD ROM or USB drive to load onto the provided computer and should arrive at the meeting rooms at least 30 minutes before the start of their sessions. If really needed, the authors also have the option to connect their own laptops to the projector. Assistance in loading presentations onto the computers will be provided. Note that only PC format will be supported so authors using Macs must save their presentations for projection in PC format. Also, authors who plan to play audio during their presentations should insure that their sound files are also saved on the CD or USB drive.

(G) SPECIAL EQUIPMENT

Any equipment or software other than the ones described in the previous section is considered as "special equipment. "Requests for special equipment (e.g., additional software, overhead transparency projector) must be specified when submitting the abstract. Provision of unusual special equipment will depend upon availability and cost and you will be notified by email.

(H) POSTER SESSION BOARDS

Poster boards and fastening materials will be provided. Posters will be 1 meter by 1.5 meters and hung vertically.

(I) AUDIO/VISUAL PREVIEW ROOM

Computer presentations can be reviewed by authors in the audio/visual preview room at the meeting.
